Updated: 8 October 2026 · Applies to: Mail app on iPhone (iOS 27) and iPad (iPadOS 27), menu paths according to Apple; server-side quota check tested on Dovecot 2.3.21
If Mail on your iPhone or iPad will not delete a message, or says it cannot move it to Trash, the two usual causes are a full mailbox on the server and Mail sending discarded messages to the wrong place. Check the mailbox size first, then go to Settings > Apps > Mail > Mail Accounts > your account > Account Settings > Advanced and set Move Discarded Messages Into to Deleted Mailbox.
Fix: emails will not delete or move to Trash
- Check that the mailbox is not full. When a mailbox is over its quota, the server can refuse to copy messages into Trash, so a mail app that deletes by copying to Trash first fails. In our test on Dovecot 2.3.21, an over-quota mailbox answered the copy to Trash like this:
* QUOTA "User quota" (STORAGE 27 20) a4 NO [OVERQUOTA] Quota exceeded (mailbox for user is full) (0.003 + 0.000 + 0.002 secs).
Free some space in webmail (empty Trash and Junk there) or raise the quota. In cPanel see Email Disk Usage and how to modify an email account quota. - Check where deleted messages go. Open Settings > Apps > Mail > Mail Accounts, tap the account, tap Account Settings, then Advanced. Under Move Discarded Messages Into, choose Deleted Mailbox. If Archive Mailbox is selected, Mail shows Archive instead of Delete; touch and hold the Archive button and tap Trash Message to delete a single message.
- Remove the account and add it again. This rebuilds the folder list on the device. In Settings > Apps > Mail > Mail Accounts, tap the account, tap Sign Out or Delete Account, then add it back with Add Account. With IMAP your mail stays on the server. With POP, check webmail first, because messages that exist only on the device are removed with the account (see POP3 vs IMAP).
- Restart the device. On iPhone X and later, press and hold either volume button and the side button until the power-off slider appears, drag it, wait 30 seconds, then hold the side button until the Apple logo appears.
How to delete emails in the Mail app
- Swipe to delete: swipe left quickly over an email in the message list. To choose which actions the swipe offers, go to Settings > Apps > Mail > Swipe Options (below Message List).
- Touch and hold an email, then tap Delete Message.
- Several at once: tap Select (on some versions it is under the More button at the top right), tick the emails, then tap the Delete button at the bottom.
- No confirmation prompt: turn off Ask Before Deleting in Settings > Apps > Mail.
How to clean out a full mailbox
- Apple notes that Select All is only offered in List View: tap the More button, tap List View, then tap Select.
- Select the messages and tap the Delete button.
- For thousands of messages, the webmail of your email provider is faster. On Ucartz cPanel hosting, see how to use webmail from cPanel, and auto delete emails in cPanel to empty folders on a schedule.
How to delete spam emails on iPhone or iPad
- In a message list, tap Select and tick the spam messages.
- Tap the Mark button at the bottom, then tap Move to Junk. You can then delete them from the Junk mailbox in the same way.
- To block a sender, open one of their emails, tap the sender at the top, tap View Contact Card, then Block this Contact. According to Apple, mail from a blocked address goes straight to Trash on all your Apple devices.
Stopping spam before it reaches the phone is better: on cPanel you can block senders with email blacklisting.
How to delete an email folder (mailbox)
- In Mail, tap the Mailboxes button until you see Mailboxes (on iPad, open the sidebar).
- Tap Edit, tap the folder, then tap Delete Mailbox.
Some mailboxes, such as Inbox, cannot be deleted. On an IMAP account the folder is deleted on the server too, so move any messages you want to keep first.
How to remove an email account from iPhone or iPad
Go to Settings > Apps > Mail > Mail Accounts, tap the account and tap Sign Out or Delete Account. This only removes the account from the device; the mailbox itself still exists. To remove the address completely, delete it in your control panel, for example delete an email account in cPanel.
How to remove "Sent from my iPhone" or "Sent from my iPad"
That line is the Mail signature. Go to Settings > Apps > Mail > Signature (below Composing), clear or change the text, and tap Per Account if you want a different signature for each account.
How to undo a deleted or sent email
- Recover a deleted email: open Mailboxes > Trash, tap the message, tap the Mailbox button and choose where to move it.
- Undo Send: you have 10 seconds after sending; tap Undo Send. For more time, set Settings > Apps > Mail > Undo Send Delay (up to 30 seconds).
- Shake to Undo is controlled in Settings > Accessibility > Touch; turn it off if you trigger it by accident.
How to remove an address that keeps appearing, or delete a contact
If an old address keeps appearing when you type a recipient, check whether it is saved in Contacts. To delete a contact, open Contacts, tap the contact, tap Edit, scroll down and tap Delete Contact twice. Apple warns that deleting a contact from an email account also deletes it on every device signed in to that account. Apple's iPhone User Guide does not describe a separate way to clear suggested addresses.
Official documentation: Delete and recover emails in Mail on iPhone, Organise email in mailboxes, Add and remove email accounts and Delete and recover emails on iPad.
